MedTreks Policies, Terms & Conditions
Payments & Cancellation Policy
Deposits:
Because of the limited space on most of our trips, trip deposits are non-refundable.
Final Payments:
Final payments are due 100 days before trip departure. Participants can sign up for a payment plan upon booking if it is before 100 days of trip start date.
Cancellations
If you need to cancel a trip or transfer to a different trip, please refer to the cancellation fee schedule below. We recognize that emergencies happen and would like to be as supportive to our customers as possible, however we work hard to find vendors that align with our principles and often have to book our trips way out in advance. For this reason, we have set up a cancellation fee policy calculated from the date we receive written (emailed) cancellation notice.
Departures Cancellation Fee Schedule:
100 days before departure: full refund (minus deposit)
0-99 days before departure: 100% trip cost
*** written notice of cancellation must be provided via email
We recognize that emergencies happen and we want to support our participants as much as possible with their MedTreks Adventures. For this reason we highly recommend purchasing Trip Insurance. Trip Insurance/Travel Protection is inexpensive and can cover all trip costs including trip payments and airfare if you were to need to change plans or cancel. Please refer to Travel Insurance section below.
Travel Restrictions
If there is a travel restriction placed by the country of your MedTreks destination and MedTreks is not able to run a trip to this location, we will refund 100% of your trip funds.
Liability Waiver
All participants will be required to read and sign our liability waiver as part of the registration process.
Travel Insurance
Travel Insurance & Trip Protection
Med Treks International, LLC, (“MedTreks”) strongly recommends the purchase of travel protection/insurance with additional “Cancel For Any Reason” coverage to protect you from the many issues that might prevent a travel supplier (e.g., hotel or other accommodation provider, or transportation providers) from completely providing their services to you (including the potential of financial default or bankruptcy). Such coverage should include Trip Cancellation or Interruption, Medical Expenses, Emergency Evacuation/Repatriation, and Baggage with emergency medical coverage of at least $15,000 and medical evacuation/repatriation coverage of at least $100,000 to participate in this trip. Travel protection insurance plans can help protect you in the event of loss of NON-REFUNDABLE trip deposit and payments that result from cancellation or trip interruption (due to a covered reason such as injury or illness before or during the journey). It also helps with reimbursement for medical emergency costs (including very costly evacuation costs), missed connections and baggage delays/loss.
Travel protection insurance is NOT included in your booking. MedTreks has offered travel insurance options for you to choose from, however, we are not liable for any issues that result with said travel insurance options. In addition, we are not licensed insurance agents, and we recommend that you contact your insurance agent or broker to discuss the insurance policies that are available. If you do not elect to purchase travel insurance/trip protection, you understand that you are responsible for all charges, costs, damages, losses and expenses, regardless of the reason.
If you wish to decline travel insurance, you will be asked to sign a Travel Insurance/Protection waiver. You can view this waiver at the button below.

Terms & Conditions
Please find the link below to our Terms & Conditions
Medical
HEALTH/PRE-EXISTING MEDICAL CONDITIONS/PERSONS WITH DISABILITIES.
Traveler is responsible for completing the Medical Information and Release Form truthfully and accurately, and providing a full disclosure of their medical history and any conditions that may affect their participation. MedTreks reserves the right to review the information submitted and, in accordance with our Privacy Policy (available upon request or on our website), request further clarification or additional details if necessary. Should MedTreks determine, based on the information provided, that the traveler is not fit for the adventure, we reserve the right to reject or cancel the traveler’s booking. If the traveler is unable to complete the medical form by the deadlines specified in the booking documents and payment invoice, MedTreks reserves the right to treat the booking as canceled, and applicable cancellation penalties will apply.
All travelers are strongly encouraged to consult with their primary care physician or travel nurse prior to booking to discuss any health concerns that may affect their ability to participate in the MedTreks adventure as we do not provide medical advice regarding destinations or activities included in the itinerary, nor are we required to provide special facilities for travelers with medical conditions unless this has been agreed upon in writing at the time of booking. Prior to booking, any decisions regarding the traveler’s fitness to participate should be made between the traveler and their medical practitioner. The nature of many of the destinations we travel to means that in some cases they may be unsuitable for some travelers and as such MedTreks reserves the right to refuse travel to guests who are over 24 weeks pregnant or who have certain physical or mental conditions that we deem incompatible with the nature of the adventure. However, we will be delighted to discuss the feasibility of your participation in any of our trips.
By completion and submission of the Medical Release Form, it is essential that you advise us before booking if you do have any disability or pre-existing medical condition which may affect your ability to do so, or if you have any special requirements as a result of any disability or medical condition (including any which affect the booking process) so that we can assist you in considering the suitability of the arrangements and/or in making the booking. MedTreks will communicate requests to Suppliers but cannot be responsible if Americans with Disabilities Act (ADA) accommodations are not available. Any accommodations provided will be at the sole expense of the traveler requiring the accommodation. Please note that accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act (ADA) and may not have wheelchair accessibility. Our Suppliers are, unfortunately, unable to offer additional assistance to travelers with limited mobility and all such assistance will need to be provided by whoever the traveler is traveling with. Travelers with disabilities must notify MedTreks at the time of booking of status and of the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance.
We may request that you provide a letter from your medical practitioner confirming your fitness to travel but the decision to participate in any of our adventures is subject to the Supplier terms and conditions and at MedTreks’ sole discretion. If you are denied boarding embarkation, or access to a Supplier due to a pregnancy or physical or mental disability, MedTreks shall not be liable for any losses, expenses, or refunds resulting from such loss in access for you or anyone in your group.
