Reserving Your MedTreks Adventure
A simple, flexible way to reserve your place and plan ahead for an unforgettable adventure.
How Payment Works?
We know that a MedTreks adventure is an investment—not only in travel, but in yourself, your education, and some much-deserved time away. Our payment structure is designed to make reserving your trip simple while giving you plenty of time and flexibility to plan.
1. Reserve Your Spot
Your initial deposit officially confirms your place on the trip. Because our groups are intentionally small and we begin securing accommodations, guides, and other trip arrangements as soon as you book, all deposits are non-refundable.
2. Pay Over Time
You don’t have to wait until the final payment deadline and pay the entire remaining balance at once. We provide a suggested payment plan that divides your remaining trip cost into manageable installments between booking and your final payment deadline.
Our standard payment plan includes two installment payments after your initial deposit, followed by any remaining balance at the final payment deadline. You’re always welcome to make additional payments along the way.
3. Final Balance
Your remaining trip balance is due by the final payment deadline for your adventure. Once inside the final payment window, trip payments become non-refundable due to the commitments MedTreks has made to hotels, guides, outfitters, and other local partners.

Cancellations & Refunds
We understand that life happens and plans sometimes change.
Deposits are non-refundable. If you need to cancel before your trip’s final payment deadline, eligible payments made beyond the non-refundable deposit may be refunded in accordance with the cancellation terms for your specific adventure.
Once the final payment deadline has passed—100 days before departure for Signature Adventures and 120 days for Premier Adventures—trip payments are non-refundable.
Because unexpected circumstances can arise, we strongly recommend purchasing comprehensive travel insurance that includes trip cancellation and interruption coverage.
CME Reimbursement & Itemized Receipts
Many MedTreks guests use employer-provided CME or continuing education funds toward eligible portions of their experience.
Upon request, MedTreks can provide an itemized receipt separating applicable trip costs, CME/CE fees, registration fees, accommodations, and other eligible expenses to help with employer reimbursement and tax documentation.
Because reimbursement policies and individual tax circumstances vary, we recommend confirming eligible expenses directly with your employer, CME department, accountant, or tax professional.
Our goal is to make planning your MedTreks adventure as easy as possible. Reserve your spot with your deposit, follow the provided payment schedule, and we’ll take care of the details from there.
Pack your bags. We’ll handle the rest.
